First, while the two terms are often used interchangeably and both have similar goals, RFPs and RFIs are not the same things. RFP stands for “request for proposal”, while RFI stands for “request for information.”

The subtle difference between the two terms communicates the media buyer’s intent. RFI usually indicates that you are looking for more information, perhaps you’re not yet completely sure what solution will best address your problem. As such, the RFI is often a much more casual document. For instance, if someone focuses on local SEO rather than social media, the agency can navigate their prospective partners with the help of RFIs.

An RFP, on the other hand, is typically more formal in its style of communication and will be preferred by buyers who have a pretty good idea of what solution they need. It doesn’t just inform the media buyer of what’s out there — the job of the RFP is really to narrow the media buyer’s options to the best possible fit.

No matter which request type you issue, the ultimate benefits of using one for your vendor interactions will be the same. Both RFPs and RFIs give you a method for standardizing how you evaluate potential media vendors, thereby helping you make much better, more objective decisions when it comes to choosing paid media.

You can also think of a request for proposal RFP or RFI as another method of vendor vetting or vendor management. Depending on how you structure your RFP/RFI, vendors will have to provide standardized responses to certain questions, which will put everyone on a level playing field. As such, an RFP/RFI should help you evaluate each potential vendor along with at least 4 key criteria:

Vendor transparency and brand safety

Targeting capabilities and audience segments

Campaign analytics and reporting

Optimization capabilities

… plus anything else that may be important to your specific media plan.

Bizly’s Chief Strategy Officer Kevin Iwamoto sums up RFPs and RFIs as “instrumental in enterprise risk mitigation, process standardization, cost savings, and cost avoidance.” In other words — RFPs and RFIs help you make better, less risky decisions. While some may argue that they introduce friction on the seller side, RFPs and RFIs are essential for helping media buyers get their bearings in a complex vendor landscape.

And is any of the criticism warranted?

The RFP, and the RFI especially, are undeniably fantastic tools for media buyers looking to quickly understand and then fairly compare vendors they haven’t worked with before. Naturally, when comparing multiple vendors through a standardized procedure, some of the less tangible aspects of the buyer-seller relationship are removed. This may be why some find the RFP/RFI process less appealing: the value of having a deep working relationship, or a seller’s ability to add strategic insight will be less pronounced through an RFP.

But that by no means undermines the RFP or RFI.

Rather, it clarifies where they’re best used.

Doing initial discovery, figuring out where you’ll get the most ROI from a large number of vendors? Few tools can effectively replace an RFP.

One useful way to think about your media agency RFPs and RFIs is as a brief. In other words, what business goals are you aiming to achieve, what problems are you tackling, and what role will the media buy play in reaching your outcomes?

The more thought you put into your RFPs and RFIs, the better the responses from media vendors, and ultimately the better your ROI. So what are the essentials you’ll want to think about?

Most agencies create an RFP template. There are basically two types of information your RFP/RFI should contain: what the potential vendors need to understand about your campaign, and what you want to learn about the vendors.

Some things you’ll want to include for your vendors may be:

A background on your company or client

An overview of the campaign

Key goals and KPIs of the campaign — what you aim to achieve, and how it will be measured

What audiences you’re targeting — the more specific, the better

Any specific requirements you may have (brand safety, channels, media types, etc.)

Clear answers to the above will help vendors decide if they’re a good potential partner, and thereby filter out RFP responses that are unlikely to be a good fit.

In turn, some of the core things you may want to ask a vendor will include:

Where will ads be served? Does the vendor control which supply sources show ads?

What processes does the vendor have in place to avoid ad fraud?

How strong are the seller’s targeting capabilities? How are they able to target ads (demographic, geographic, psychographic, behavioral)?

How do they generate analytics and reporting? Is it done in-house or through a 3rd party? Do they provide real-time reporting?

What are the seller’s optimization capabilities? How do they map onto your stated KPIs?

You can use the above as a starting point, but of course make sure to tailor each RFP and RFI to your specific situation.

There’s no better playbook for what to do in a recession than data from the 2008-2009 crisis. And there’s no better authority on what all that data means than the researcher Peter Field and his highly regarded study Advertising in a Downturn.

Given the current crisis, Field has made a few updates to his research, and offers recommendations to advertisers looking for advice about responding to the current crisis.

Field summarized his advice thus:

“Do not panic… and particularly don’t go dark. You will regret it at great length.”

Why so ominous? Brands that stop advertising in a recession, the data suggests, create “a significant risk that can take up to five years to recover from, all while experiencing a ‘major loss’ of profit.”

To mention just a few:

1930s: Kellog continues to advertise throughout the depression unlike their cereal rival Post. Post gets crushed, while Kellog and it’s newly-unveiled Rice Krispies brand drives an almost 1/3rd increase in profits.

1970s: Toyota barely trails Honda in fuel efficiency in a US report. Recession hits. Toyota’s selling everything it produces based on product strength alone, so executives are tempted to reduce ad spend. They decide against reductions, Toyota sticks to plan, and by 1976 it surpasses Volkswagen as the #1 US import vehicle.

2008-2009: Amazon invests in product innovations , continues to double down on growth, and reaps the rewards: 28% sales growth despite a global recession. No surprise, the same company is poised to come out far ahead from the current crisis as well.

While not every firm will fit this scenario, data suggests that companies in a position to continue advertising should do so.

For those that do carry on advertising, what should be the focus?

Many advertisers will be tempted to pad the balance books short-term. In other words, discounted product: sacrificed margins in favour of immediate revenue. Field argues this is a mistake. While there may be short-term revenue gains (though no guarantees), in the long-term this trains customers to expect discounts and product promotions from the brand and hurts profitability overall.

What to do instead? Field thinks you should focus on share of voice. The point of advertising today, assuming that you can hold off panic, is to make sales easier next year.

Additional lessons from the past on marketing in a recession suggest that those who are pressed to cut costs should consider spending less on creative and production value, while maintaining the frequency of advertisement. This may already be happening as a byproduct of social distancing orders. Furthermore, investing in awareness campaigns and retargeting will be the best alternatives to performance marketing while consumer behaviour is affected and driving down spending.

Finally, if you are going to advertise to maintain share of voice and set your brand up for better sales next year, some ways prove better than others.

What’s working well according to Field? While he doesn’t think brands should completely abandon existing campaigns, he says studies suggest ads should focus on humanity and community as opposed to ads on the self, self-image and performance.

Research into changes in consumer personal values as a result of the pandemic show that Americans have started to value safety, security, and duty in significantly higher regard. On the other hand, values like pleasure, humility, tolerance, and independence have seen a slight drop in importance. The research suggests that “the central point of control for some consumers may be moving from internal (i.e., a focus on the self) to external (i.e., a focus on others’ well-being).” Campaigns centered around trust and a sense of security and safety for the consumers are likely to win in this environment.

Sorrell didn’t hold back, calling COVID “a Darwinian culling.” But he is optimistic in the long-term: “‘Q2 will be horrendous, Q3 will be tough but better, and Q4 will be a recovery.”

How can a firm position itself for a stronger recovery? Sorrell advocates for more agility. “My favourite question to anyone I’m talking to is: ‘What’s your biggest problem? The answer in most cases is lack of agility… When you have two people in a company, you have a cooperation problem. To get 2500 people to think as one, or to leverage whatever knowledge the 2499 have – that’s the game. If you can get people to share knowledge and insight, you have a much more potent organisation.”

Nathan Furr, Associate Professor of Strategy at INSEAD, advises that one of the most important things for marketers right now will be honing their ability to respond to uncertainty. After researching how leaders respond to the unknown, he concluded that “those who develop this “uncertainty capability” are more creative, more successful, and better able to turn uncertainty into possibility.”

How can marketers make sure they calmly and strategically navigate current uncertainties? Based on his research, Furr recommends applying 5 frames to our thoughts and internal narratives. These frames are:

Learning. What can I learn from the current challenge?

Game. Consider the ups and downs as part of a game: perhaps you’ve lost today, but you may win tomorrow.

Gratitude. Don’t lose your perspective — remember what you already have, and actively practice gratitude for those things.

Randomness. Keep in mind that much of life is quite random and out of your control. Respond to what you can, but don’t stress other things that are out of your hands.

Hero. Finally, Furr says that “the most powerful” frame he’s observed is the hero frame. This happens when leaders see the obstacles and uncertainties they encounter as part of a larger journey that every hero has to go through. In other words, it’s the obstacles themselves that make doing anything at all worth it.

Mayur sees disruption happening in two types of organizations:

First, “those that had over-indexed completely on the performance side and are now working to bring the soul back to marketing.”

In the second cohort are the “legacy organizations who were still thinking about digital as a bolt on.”

For Freshly’s CMO, the Covid crisis means an opportunity for brands to push themselves to think harder about how they can serve their community. “This crisis is forcing [brands] to either perish or evolve to understand that this is all about marketing in a digital world, not digital marketing. Mayur says that we have to push ourselves to ask daily “how do we serve our community?” Freshly aims to do this in their partnership with Nestlé “to contribute half a million dollars to Meals on Wheels. That’s one example where you stand up for what your mission is and realize it’s not about how many users can you acquire on that day.”

Chapman makes it explicit that the company has to make the hard choice to do what is right above what is profitable: “we did that because it’s just not safe for workers or for people coming in. It was obvious to us that it was just the right thing to do.”

Like many others, the company has also pivoted its production priorities to tackle the safety of others: “We quickly started reaching out to HP and other vendors because we’re the US’s largest 3D printing facility and have capacity. We ramped up those efforts to build face shields and masks, which are currently shipping across the country to first responders.”

This volume model is in effect “a formula which enables quick-fire content and culture creation at scale by collapsing creative, strategy, media and production.”

Vaynerchuk comments: “I do think we’re built for this [time] because — and this is just very honest — I think we’re a better value than the alternative media and creative out there, because I don’t think we’re running at the same margins.”

In other words, he has built his company to move quickly and to accommodate the many creative limitations currently in place due to COVID, and he’s committing to trading off high production value in favour of volume. Of course, this may be a unique position only to some companies, as the CEO comments: “A lot of great shops outside of Wieden+Kennedy are publicly-traded shops, and they need to hit certain numbers and I have empathy for that — I don’t think that makes them bad, I just think it doesn’t allow them to invest as much as I do.”

As she puts it: “the most powerful moments I’ve experienced as a leader have come from letting go of the archaic notion that strength lies only in bravado and bluster, or self-serving agendas that your staff can see right through.”

While Jones stands firmly behind the need for leaders — especially women who lead agencies — to “use their voice, lean into their power, and advocate for structural change,” she also acknowledges that there is something that goes beyond this: “there’s another side to true badassery that is equally important: leading with vulnerability.”

But the loss of performance marketing spend doesn’t have to result in the loss of all marketing results. Rajamannar explains: “that’s where I see opportunities for companies to come together and do co-marketing. And co-marketing works brilliantly because collectively, what multiple companies can deliver as a value proposition to any audience is far higher than what an individual company can do by itself.”

In other words, it may be time for marketing leaders to prospect for partners, forge stronger relationships, and build joint marketing campaigns in a battle to make budgets do more.

She suggests that “if you really want to know how well your company will emerge from this crisis, look at your leader. Are they transparent, open, decisive and empathetic? Are they really making the same degree of sacrifice and compromise they’re asking of their staff right now?”

Moreover, Beale reminds us that “an agency’s best staff are its only real assets,” and that the best leaders should already know this and act accordingly to empower their staff to come together in response to the crisis. Right now is a great time to surround yourself with diverse opinions, meaning “people who you can bounce ideas off of so you’re not sitting in your own echo chamber.” Hassan thinks you should “give yourself like four to six people who can take you out of your teams and your current world right now as you’re evaluating ideas.” This means having people who are part of your trusted circle — a “brain trust” — who can advise you on upcoming decisions without bias or filters. Now more than ever you should be stress-testing your opinions against others, in order to make the best strategic moves possible.

We can group these responses into three broad cohorts to help us think about how media buyers evaluate new media partners: performance factors, communication, and reliability.

Performance Factors
These are the make-or-break considerations that more than half of media buyers will be evaluating when assessing a media partner: targeting tactics (69%), competitive pricing (62%), and audience data (55%). In other words, buyers are looking to maximize ROI by reaching the right audiences, with the right targeting, at the lowest costs.

Communication
Taking second place, close to half of media buyers include customer service (46%), reporting (45%), and inventory transparency (41%) in their top considerations. While performance factors drive results, these communication factors may actually help them show those results to the client.

Reliability
Reliability includes evaluating platform capabilities (34%), fraud protection and brand safety (28%), as well as reviews and case studies (14%). All rank less in importance than performance and communication. While brand safety is important to an equal number of media buyers as clients, the surveyed media buyers do not rely on reviews and case studies to make their decisions. This may be because the industry is more mature, and perhaps also because the vendors on BriefBid’s platform are already pre-vetted.

The global lockdown has caused media prices to drop, but that hasn’t resulted in new campaigns for advertisers.
The global lockdown has caused media prices to drop, but that hasn’t resulted in new campaigns for advertisers. While the new media buying opportunities arise, two culprits prevent investment in the heavily discounted CPMs experienced across the industry. Depending on the situation, marketers may be able to counteract at least one of them.

The two reasons why advertisers aren’t buying more media right now are:

Overall slashed budgets

Fears for brand safety

The coronavirus crisis continues to wreak havoc, with as many as 86% of advertisers anticipating anticipating major negative impacts to extend into Q2.

Moreover, those of us who still get to make decisions are facing make-it-or-break-it situations. As one chief media officer reports , we’re having to act a lot more decisively: “I tell [finance directors] what’s on a media plan that’s either muscle or fat. In other words, I have to tell those execs what’s going to work for the business now.”

Those of us still serving clients agency-side are in the same boat: with a serious reduction in client budgets, it’s suddenly that much more important to demonstrate ROI.

Which is where the need to quickly find opportunities arises. So where are they?

Cost of news media plummets, new media buying opportunities emerge.

A significant gap opened up in news media publishing as advertisers stopped or paused campaigns.

IAB reports that 45% of news media publishers are now offering lower rates in an attempt to recoup some of the projected hits to the business. And the business hits will be serious indeed: 88% of publishers now expect to miss this year’s forecasts.

But while publishers (news publishers especially) are losing ad revenue, their audiences are actually surging. For mid-April, SimilarWeb reports an 8.48% week-over-week gain in traffic to news websites. Meanwhile, Comscore’s aggregate data from 40 news sites showed 20% – 30% week-over-week traffic growth in March.

If online media’s CPMs are down across the board, yet audiences are actually more active online, advertisers have an opportunity to buy attention at a very heavy discount.

Some CPMs are discounted due to brand safety, and those discounts might not last.

It’s worth noting that if you’re dealing with massive budget cuts, you may simply not have the bandwidth for ad spend. The downturn has already impacted some of the largest marketing companies, and it’s no surprise that for some ad spend has simply taken a back seat.

However, where advertisers are pulling campaigns solely out of fear for brand safety, we may be witnessing a slight overreaction, and a real opportunity. Many advertisers have started to filter any and all news stories containing “coronavirus” keywords. It’s a common fear to have your brand associated with negative news stories. In March 2020, IAS blocked 1.36 billion ads — this is compared to just 64 million in February.

The problem here is that news publisher feeds have been completely dominated with stories related to the virus — it’s hard to imagine a credible news outlet that would be making different publishing decisions. By now, audiences throughout the entire globe have come to terms that this is a daily reality. So being overprotective about having a brand appear next to a story related to the virus may be causing more harm than good in the long run. As some publishers have noted: this is a time to adjust your messaging, not a time to stop advertising completely.

Of course, not everyone will take a forward-looking approach, and chances are that some advertisers will choose to be extremely safe. This is where the opportunity exists for those who can pivot quickly.

A comment from AdProfs put it well:

Two more media buying opportunities emerge: Connected TV and Digital Audio.

Good news for those still concerned about brand safety: we’re seeing emerging opportunities where brands are less likely to appear next to news about the outbreak.

Connected TV
Comscore already reports 29% YOY growth in this channel as a result of the disruption. Many advertisers were fast to note the coming changes and re-allocate their budgets accordingly. But the opportunity for more growth still remains: according to Nielsen, staying home may lead to 60% or more TV viewing.

Digital Audio
If not TV viewing, then those staying at home are spending more time with live audio. Nielsen found that when it comes to radio, 83% listen to the same amount or more since the start of stay-at-home orders. Advertisers have also started to pivot accordingly, with 33% either retaining or shifting more budget to digital audio.

How to correctly approach the new opportunities.

Simply from a numbers perspective, a 50% discount plus a surge in audience activity (after all, everyone’s stuck at home, glued to a screen) should make it an attractive investment.

If you’re advising a client or having to consult on budget internally, it’s important to keep the above stats in mind. What’s more important than anything else is making sure that the messages of your campaign are appropriate, not that you block coronavirus content. After all, the majority of consumers do not think that brands should stop advertising during the outbreak. What’s more important is that you advertise in the appropriate way.

Moreover, it’s good to stay alert about new opportunities given an ever-changing environment, while working with partners that provide a lot of transparency. If you’re looking for more tools to help you accomplish that at no cost, BriefBid offers media buyers a free media discovery and management platform. For those marketers who are now reevaluating their media mix, our platform allows them to stay agile and discover pre-vetted media vendors for their evolving marketing strategies.

Until recently, media vendors and buyers had an unbeatable relationship-building tool: the trade show. Now it’s hard to tell how long we’ll wait before we get to participate in mass gatherings again.

But though trade shows are on pause, media vendors and buyers still need to build relationships — perhaps now more than ever. So how are businesses connecting in a post-trade-show world to fill the vacuum created by event cancellations throughout the globe?

Let’s start by taking a look at exactly why trade shows were so impactful in the first place…

Due to the global crisis, the event industry as a whole has taken a direct massive hit to the tune of at least $1.1 billion. But the indirect impact is likely just as big (if not bigger), and marketers who once relied on event marketing for demand generation are now scrambling to pivot their strategies.

Those marketers are no small group. Before events shut down, 41% of B2B marketers had planned to increase their 2020 event budgets. And more than half of B2B marketers were already spending 21%+ of their budgets on events.

We can attribute the confidence in trade show ROI to at least three things:

Trade shows leveled the playing field. If you’re a media vendor, exhibiting at a trade show meant equal access to media buyers — no matter how big a banner the largest players bought, you couldn’t be drowned out.

Trade shows were the place to learn about emerging technology and offers. What’s the best way to ensure trade show ROI? Bring your best offer, your best demo, your most cutting-edge tech to the show. For media buyers this meant unprecedented exposure to emerging media — from DOOH, to ConnectedTV and Digital Audio.

Trade shows created the perfect environment to build relationships. Any salesperson will tell you: we buy from people we know, like, and trust. Trade shows were the staple of relationship and trust-building for most us in B2B. Few things can outcompete a face-to-face interaction when it comes to getting to know someone.

Today, trade shows are on hold for the foreseeable future. So how are media buyers and vendors forging new connections?

Now more than ever, media buyers are looking for ways to stretch their media budgets while adapting to constantly changing consumer behavior. Media vendors, on the other hand, are perfectly positioned to tailor their inventory in response to this “new normal”.

In other words, there is no better time to seek out new connections. But how?

Here at BriefBid, we’ve been seeing a huge surge of inquiries from both vendors and buyers. And while a media vendor discovery platform won’t replace trade shows, during a time of social distancing it can help achieve similar results to what we used to get from trade shows. How, exactly?

A media discovery platform gives every vendor an equal opportunity by applying data-driven vetting. For vendors, this gives the ability to compete based on the fit and quality of their inventory, as opposed to the size of the sales team. Whereas for media buyers, it creates more choices while looking for the right fit.

A media discovery platform uses a relevance algorithm to match vendors with buyers. This means media buyers can spend more time learning about different solutions and comparing them in more depth, rather than devoting resources to assessing every individual vendor on a case-by-case basis.

A media discovery platform provides a streamlined RFP process and leads to more meaningful conversations. The best media vendor and buyer relationships ultimately come down to ROI. A media discovery platform gets rid of bottlenecks to building relationships by streamlining the RFP process. In turn, faster decision-making means a shorter path to ROI.
